Conservation Administrative Assistant

This is a 3-month, on-site temporary position (TuesFri, 9am5pm). The Administrative Assistant will support the daily operations of the Conservation department by managing a range of administrative tasks. The ideal candidate is organized, adaptable, and capable of handling multiple responsibilities while contributing to an efficient and productive work environment. Parking pass will be provided free of charge.

Responsibilities:

• Provide administrative and customer service support to Conservation Department
• Assists with calendar management, internal and external communications, and reporting
• Reserve and manage spaces for team meetings and events
• Assist with scheduling meetings and taking detailed notes
• Manage common areas and office equipment, occasionally coordinating with maintenance as needed
• Supporting larger events, conferences, and workshops, including coordination with external vendors and department guests
• Maintain and update department vehicle list, registration, and maintenance.
• Assist with the preparation of invoices
• Receives and distributes department mail and packages daily

Requirements:

• 1-2 years of relevant experience in an administrative role
• 1-2 years of experience using Google Suite & Microsoft Office (Intermediate proficiency)
• Strong organizational and time-management skills
• Excellent written and verbal communication abilities
• Ability to multitask and proactively solve problems

Physical Requirements:

• Intermittent standing and walking with extended periods of sitting in meetings, at desk or working at computer
• Visual and aural acuity, manual dexterity
• Ability to lift up to 30 lbs. and work in a variety of environments
